Weekday Rental Agreement

 PROOF OF INSURANCE, LISTING THE NW SPORTS HUB AS ADDITIONALLY INSURED MUST BE RECEIVED TO RESERVE YOUR DATES AND TIMES.

I (We) personally guaranty payment and performance of all obligations to Lewis County Event Center, LLC, to include costs of collection and reasonable attorney fees. This guaranty will be continuing and will not be affected by any act or failure to act or delay of any kind by the Renter or Lewis County Event Center, LLC or any other circumstance whatsoever which might, but for the provisions of this clause, constitute a legal or equitable discharge of the my (our) obligations as guarantors.

By signing this contract, you agree to obey the General Terms/Policies/Conditions which are attached to this document and made a part thereof, which NW Sports Hub reserves the right to amend or supplement at any time.


INSURANCE

Liability insurance is required of all renters. The insurance must, at renter’s sole expense, provide and maintain public liability and personal property damage insurance. Certificate of insurance must be endorsed using the following clause, naming “Lewis County Event Center, LLC and Lewis County Public Facilities District employees, contractors and contracted vendors against all bodily injury, property damage, personal injury and other loss arising out of renter’s use and occupancy of the premises, or any other occupant on the premises, including appurtenances to the premises and sidewalks”. The insurance required hereunder shall have a single limit liability of not less than $1 million, and general aggregate liability of not less than $2 million. Lewis County Event Center, LLC shall be named as an additional insured of said policy.


LIABILITY

Renter agrees to indemnify, defend, and hold Lewis County Event Center, LLC and Lewis County Public Facilities District, its landlord, building owners, officers, employees, and agents harmless of and from any liabilities, costs, penalties, or expenses arising out of and/or resulting from the rental and use of the premises, including but not limited to, the personal guarantee of provision, service, and dispensing of payment by renter, its employees, and agents, of alcoholic beverages at the NW Sports Hub.

In the event the NW Sports Hub, its landlord, building owners, officers, employees and/or agents, are required to file any action in court in order to enforce any provisions of this agreement, renter agrees to pay the Lewis County Event Center, LLC, its officers, landlord, building owners, employees and/or agents, all reasonable attorney fees, court fees, and costs of suit incurred by the NW Sports Hub and Lewis County Public Facilities District, including all collection expenses and interest due.


CANCELLING REQUESTED TIME

You are required to give 2 weeks notice for any scheduled rental to be cancelled.  Failure to do so will result in full payment. This will give the NW Sportshub time to fill the empty spot.


PRIORITY EVENTS

NW Sportshub is obligated by our local agreement to fulfill certain activity requirements.  Weekday rentals are subject to cancellation for these priority events. NW Sportshub Staff will communicate with any conflicts at least a week in advance. 


LOAD-IN/LOAD-OUT AND STORAGE

All load-ins and load-outs must take place within the designated timeframe given by the NW Sports Hub. The NW Sports Hub is not responsible for checking in or handling any items brought into the venue by rental companies. All external items must be checked in and signed for by the client or client’s representative. All excess material (such as bubble wrap, boxes, hangers, plastic, etc.) created by deliveries must be removed and disposed of by rental company, client, or client’s representative. Limited storage is available upon request. Storage fees may apply items left on site for the duration of this agreement (discuss with management prior to leaving items). This also applies to items left post event for shipment out via courier. Note: it is your responsibility, and not the responsibility of the NW Sports Hub to ensure that pick-ups are scheduled and executed.


CLEANING, TRASH AND EQUIPMENT REMOVAL

The NW Sports Hub will be in a clean condition prior to your event. You are required to return the space to the same clean condition in which it was found. The NW Sports Hub encourages those renting space to consider green, sustainable, fair trade, ecologically sound cleaning and zero waste solutions. The NW Sports Hub proudly commits to as close to zero waste events as possible. All trash, including properly sorted recyclables, must be collected, properly bagged and placed in designated areas for trash.

All rental equipment must be removed immediately following your event.


CITY, COUNTY, STATE AND FEDERAL LAWS

Renter agrees to comply with all applicable city, county, state, and federal laws and shall conduct no illegal act on the premises. This is a drug free and non-smoking facility at all times, NO EXCEPTIONS. All alcoholic beverages and non- alcoholic beverages are solely provided through sales by Hub City Grub/Hub City Pub, (P&W, LLC). Renter shall not sell alcohol or non-alcohol beverages on premises at any time. Renter may not serve alcohol to minors on the premises at any time. Renter agrees, for everyone’s safety, to ensure alcoholic beverages are consumed in a responsible manner. The NW Sports Hub reserves the right, in its exclusive discretion, to expel anyone who in its judgment is intoxicated or under the influence of alcohol or drugs, or who shall in any manner do or participate in any act jeopardizing the rights, use permit, or insurability of the NW Sports Hub or the safety of its staff, guests, building and/or contents.


ENTRY AND EXIT

Renter agrees that the NW Sports Hub staff may enter and exit premises at will. Contact information for a representative from the NW Sports Hub will be provided for any questions and/or to respond to needs or issues that may arise at any time.

LOST AND FOUND

The NW Sports Hub staff takes no responsibility for personal effects and possessions left on premises. We do, however, maintain a lost and found and will hold recovered items up to 30 days. Every attempt will be made to return any recovered item to its rightful owner.

PROMOTIONS AND COPYRIGHT

It is important to us that you have a fantastic and successful event. Should the NW Sports Hub be engaged in the promotion or co-production of your event, it is imperative that we see and approve all marketing messages and communications.

The NW Sports Hub is our name, please do not shorten it to “the hub" or otherwise. We are happy to provide professionally created images of our space for promotional materials. We hope you will refer others here and are happy to answer any questions you might have about the types of events we do. We are also happy to personally welcome your guests and speak to them about the historic nature of the building, or its contents. A representative of the NW Sports Hub and/or promotional materials and signage will be present at all events, and any questions about the space, its contents or about our upcoming events and the charities we support can be directed to that representative.


GENERAL TERMS / POLICIES / CONDITIONS
The following are the general terms, policies, and conditions used when booking events at the Northwest Sports Hub.

Insurance: Renter is responsible for all proper insurance coverage, licenses, permits, taxes, and fees. We require proof of insurance with a $1 million / $2 million General Liability policy for all facility rentals and that you list the Lewis County Event Center, LLC d.b.a., Northwest Sports Hub, 701 Pioneer Way, Centralia Washington 98531 as additionally insured.

Service Providers: Only pre-approved service providers may be used for services affecting public safety or standards of service, such as security, or decorator services.

Concessions: Concession services are exclusive to the sub-lease tenant of the NWSH kitchen concessionaire. Absolutely no other food or beverages can be sold or distributed without expressed written approval from NWSH management.

Parking: Parking is available for the NWSH and its renters during non-operating hours of local schools, and park properties during the day and evening. Certain events may require paid parking services, shuttles, parking security, to be determined at approval of event rental.

Liqueur License: NWSH is a licensed facility. All alcohol distribution is subject to the rules and regulations mandated by this existing license. Exceptions can be made for Special Event Liquor Licenses secured from the state by an event producer. (Note: If alcohol is to be served the insurance policy and certificate must include Host Liquor Liability coverage to protect you against alcohol related accidents, as you are ultimately liable for the safety of your guests.)


Service Providers: Only pre-approved service providers may be used for services affecting public safety or standards of service, such as security or decorating services.

Settlement: At the conclusion of the event, the renter will be responsible for settling all outstanding facility expenses. The renter will be presented with all available documentation of expenses to include, but not limited to: rental balance, equipment rental, and labor expenses.

Guest ~ Ticket ~ Emergency Information

The Northwest Sports Hub strives to provide its guests with a safe, comfortable, and enjoyable atmosphere. Guests interfering with other guests’ ability to enjoy the event including using foul or abusive language or inappropriate gestures may be subject to eviction. Guests appearing to be under the influence of an illegal substance may be evicted from the facility and turned over to the authorities.

All Guests must maintain reasonable and appropriate behavior at all times. Guests using offensive language or engaging in disorderly conduct may be ejected from the facility and may be subject to arrest. Ejected Guests will not receive a refund or be compensated in any way for their loss.

Disturbances include, but are not limited to, the following:

  • Standing on chairs
  • Drunk and disorderly conduct
  • Fighting or challenging others to fight
  • Exposing private body parts
  • Interference with or delay of the game/event
  • Violation of NWSH policies
  • Violation of the local, state, and federal laws and statues
  • Igniting and display of flames, i.e. lighters / matches, in the facility bowl
  • Attempting to enter the field of play, court, stage or backstage areas without permission
  • Throw, discharge, or launch any liquid substance or objects
  • Willfully and maliciously disturbing another Guest / employee with loud and unreasonable noise
  • Using profanity and/or offensive words, which are likely to provoke a violent reaction from others
  • Taunting or using offensive language against the players, referees, or performers
  • We also have the following list of items restricted from bringing into the NWSH:
  • Aerosol cans
  • Air horns
  • Alcoholic beverages or illegal drugs
  • Animals except certified service dogs
  • Balloons
  • Beach balls and other inflatable's
  • Belts made of metal or chains or including spikes and/or studs
  • Bota-bags or wine skins
  • Bullhorns or noise makers
  • Chains over six inches in length
  • Confetti
  • Fireworks, firearms, or other weapons
  • Glass bottles or aluminum cans
  • Gum
  • Ice chests, coolers or thermos containers
  • Laser pointers
  • Outside food or beverage
  • Open flame/propane/lighters
  • Skateboards or roller blades
  • Sticks or clubs including signs attached to sticks
  • Stools or folding chairs
  • Water bottles or mugs
  • Weapons

All signs and banners for promoters and vendors must be approved by NW Sports Hub management. *Unless otherwise specified by teams and/or event officials/management, the NWSH welcomes guests bringing small signs, flags, banners, and posters inside the building to show fan support during events.

The following guidelines relate to these items:

  • Item must be related to event
  • Item may not be attached to a stick/pole
  • Item may not be larger than 11" x 17" in dimension
  • Item may not obstruct any sponsors/advertisers signage
  • Item may not be hung, attached, or displayed on any part of the building
  • Item may not contain or display obscene/offensive language and/or pictures, as determined by NWSH
  • management
  • Item may not be constructed or displayed in a manner that may obstruct the view of other guests or in any
  • way create a safety hazard for others as determined by NWSH management
  • Distribution of Materials Policy
  • Guests are not allowed to hand out pamphlets, advertisement brochures, etc. to other guests while inside the building, without prior approval from NWSH management.
  • Dress Code
  • All guests in attendance are required to wear a shirt and shoes at all times for their own safety. NWSH management reserves the right to deny entry to guests wearing clothing items displaying offensive text and/or images.
  • Athletes & Guests: Black soled or other shoes that leave marks on the floors are strictly prohibited. Molded cleats allowed on turf. ABSOLUTELY no metal cleats are allowed in facility.
  • Drug & Alcohol Policy
  • The NW Sports Hub & surrounding parking lots and common areas are a Drug-free, non-smoking (including vape), tobacco free facility.
  • NWSH reserves the right to deny entry to intoxicated guests. Any intoxicated guests causing a disturbance during an event will be asked to leave the facility and may be subject to arrest.
  • NWSH and its food and beverage concessionaires have adopted an alcohol policy that is designed to protect all guests and the community from alcohol-related incidents.
  • Guests are expected to obey all state and local laws governing the purchase, possession, and consumption of alcohol. It is illegal for anyone under the age of 21 to consume alcoholic beverages.
  • In addition, the following items are to be noted:
  • Alcoholic beverages will not be served in containers larger than 16 ounces.
  • There shall be a maximum limit of two alcoholic beverages sold to each guest, per purchase.
  • All guests will be asked to show positive identification prior to being served alcoholic beverages.
  • Acceptable forms of valid United States identification are: Driver’s License, Passport, State Issued I.D.
  • Card w/ Photo, and Military I.D. w/ Photo.
  • NWSH reserves the right to eject anyone under the age of twenty one (21) who is observed to be
  • consuming alcohol on the premises or who appears to be visibly intoxicated.


 

In Case of Emergency


NWSH is equipped with Automatic External Defibrillators (AED) located in various locations throughout the facility.

Designated employees have been properly trained and certified to use the AED.

  • In the event of a medical emergency, call 911.
  • Ask someone to assist in finding NWSH personnel/host of your event & for assistance with helping direct emergency personnel to the person/s with a medical emergency.
